From my personal experience, the fault is neither in the speaker nor the audiences. The fault lies in the process. It is called The Great Barrier of Communication.

The results of communication's barrier are miscommunication, undelivered messages, and meaning diminution. The barrier itself is an integral part of communication process, it can be found both on verbal and non-verbal communication.

There are several reasons why either verbal or non-verbal communication becomes ineffective.

Verbal Communication

Verbal communication is a communication conveyed through words. The example of verbal communication are speech, lecture, meeting, chants, and so on. Verbal communication is used by the majority of human population as the main method to deliver a message. The barrier of verbal communication can be divided into 4 points:

What has been said, can't be heard

The first phase of verbal communication process is to deliver a message in words to the audiences. However, what has been said, isn't always been heard by the audiences. There are several reasons why it happen.

Holding communication in the middle of busy environment is not effective. The message may be cut off by the noisy sound of engines, people's shouting, explosions, etc..
The audiences' lack of concentration will affect their ability to perceive what has been said by the speaker. This can happen if the audiences' focus are side-tracked by the background noises or simply their mind goes off wandering.
Communication through media such as telephone, microphone, video conference, radio, or television are susceptible to distortion in the transmission process. Especially where the network is still weak. The message sent and received may be incomplete.
Some health problems that affect mental state,concentration, and hearing is another point of verbal communication's barrier. Elderly and hyperactive children may need special attention. Raise your voice or get their attention while holding communication, or else they might not hear what you say.

Solution: Hold communications in the proper place. Usually inside a room, the silent atmosphere will make each communicator able to focus their mind into the communication process.

What has been heard, can't be understood

Hearing something doesn't mean your audiences will understand what it means. It is closely related to the education level and technical knowledge your audiences have about the topic. Know your audiences more before holding a communication.

Using an exclusive word (words with meaning only known to some people) or uncommon word toward wrong audiences is a perfect example of how they heard what you said, but don't understand the meaning. Difference in language and culture may also pose a barrier between communicators.
Different knowledge over word meaning. Ex: For me a cup is a container that is used for drinking no matter the size and its form, while for you a cup is a container that is used for drinking which has a handle and small in size. Although this looks insignificant, the meaning perceived by each other is different, thus leading to the miscommunication.
Even a simple sentences can lead to ambiguousness, depends on the word structures and audiences understanding. Make sure you have a clear spelling and correct verbal punctuations so the audiences can hear clearly and understood the true meaning.

Solution: Know your audience well. Check their background first (education, family, career, age, country, culture, etc) so you can hold the communication effectively. Use a translator or professional spokesman if a situation demands it.

What has been understood, can't be accepted

This is a matter of mental states. When your audiences are filled with distrust, rage, or anxiety towards the topic, yourself, your organization, or your products, all the words coming from you will meet a thick wall of self-protection. They will reject everything you said no matter how good you deliver the message. They might don't like the idea of standing on the wrong side all this time.

To sum it up, there are 3 factors why they can't accept your words:

Distrust over other party
Their feelings about the topic
Their past experience about you or your products

Solution: Build a good relationship and reputation towards other people and your own audience. The success of communication depends on the feeling each communicator has.

Physical Factors

People think about physical appearance a lot. A speaker with presentable appearance has more chance of getting audiences' attention instead of a shabby looking speaker.

Audiences' past experience with specific people also hold responsibility over the success of communication proccess.

Ex: Those who have traumatic experiences with "men wearing glasses" might make a judgment that all "men wearing glasses" can't be trusted. It is because human sometimes think that "one part represent a whole". A very shallow paradigm.

Solution: Dress up properly depending on the communication's intention. If your communication is business oriented, you should dress up like a businessman. Mind your attitude in front of your audiences.

Non-Verbal Communication

Non-verbal communication is a communication conveyed through other methods aside from verbally. The examples of non-verbal communication are journal, diary, letter, newspaper, sign language, morse code, smoke sign, and so on. Like verbal communication, non verbal communication also has barriers that will hinder the true meaning of the message from the audiences, such as:

Usage of complicated words, image, and code that can only be understood by yourself or some people.
Usage of imperfect grammar, misspelling, and wrong expression on the word structures might confuse some people to perceive the meaning.
Different words understanding or ambiguous.
The words size is too small. Normally, people eyesight is not designed to read something so small. The strain from doing so will affects reader eyesight badly in a long term.
Different knowledge of sentences structure. Ex: English use Subject-Predicate-Object structure, while korean use Subject-Object-Predicate. Raw translation to each other will confuse the true meaning.

Charley is busy writing copy for her new website sales page. Fred rushes over to her, launching immediately into a monologue about something. Shaken from her concentration on her task, Charley is suddenly cast adrift, trying to figure out the context of Fred's communication. She's missed the first sentence or two, has lost the train of her creative thought, and is now trying to orient herself to Fred.

Fred, who has been thinking about his subject for awhile, knows why he's interrupting Charley. Unfortunately, he doesn't realize he's acting as though what he has to say is more important than what she is doing. Because he has been thinking about it, he tends to act as though Charley has been following his train of thought as well and doesn't need an introduction to it for her. As a result, he doesn't give Charley the big picture so she can respond appropriately.

Charley asks Fred to repeat what he has already said. She tries to get clarification. Fred stops but sounds annoyed and frustrated that she "obviously hasn't been listening."

What should Charley have done?

1. Make Fred understand ahead of time, if possible, that she's not to be interrupted unless it's an emergency requiring her immediate attention.

2. Tell Fred that she wants to hear what he has to say but not while she's creating copy.

3. Remind him nonverbally (with a hand "stop")if he forgets.

4. Keep impatience out of her voice or actions if he doesn't heed hand gestures or gentle shushing, and say,
"Later, please."

5. Thank him afterward for acceding to her wishes, reinforcing his positive behavior.

6. Inquire as to what he wanted to share.

7. Give Fred her full attention when she listens.

But listening and communication are not a one-way street. Fred needs to be aware of and sensitive to what listening and communication require. So what should Fred have done instead?

1. Determine if Charley were available to listen to him before launching into what he had to say.

2. Be sensitive to her being unwilling to interrupt what she was doing at that moment.

3. Decide if it's important enough to interrupt her work at that moment.

4. Make sure he has her attention before speaking and not just assume he has.

5. Call her by name and ask if he can tell her something about XYZ.

6. Tell her what he wants to talk about and why he thinks it's important before launching into his monologue.

7. Wait for eye contact with her before speaking about his subject.

8. Check her understanding by asking for feedback, opinions, or suggestions about it.

Chatroulette is a Russian website that connects users in a random manner for webcam based conversations. It is supposed to be a form of entertainment that offers its users a chance to speak to strangers from anywhere in the world in a casual, fun and non-threatening manner. Proper Etiquette on the Telephone: 3 Common Errors When Making Phone Calls

A typical teenager, I used to call my best friend every single day after school even though we had already spent the entire day together. Every time I called, even when I knew it was her voice answering the phone, I would always say, "Hello. May I please speak with Sonia?"

"HEATHER!" she'd scream, "You KNOW it's me!"

I couldn't help it. It was habit. My mom had engrained proper telephone etiquette in me from the minute I was tall enough to reach the receiver.

This past month I've received several calls that have made me stop in my tracks. I've wondered if the people calling me have had any idea what kind of message they were sending over the phone.

We work so hard to make a perfect first impression when we meet people face to face. Why do we forget all of our lessons over the phone?

The stories and examples in this article are real, and if you have a habit of doing or saying any of the same things I beg you to change your ways immediately!

(Names have been changed to protect the impolite.)

1. You have no idea what you are about to say

Incorrect: "Uhhh... uhhh... Hello? Uhh... Heater, ah?" (or Header, Hader, Hetter or some variation)

It doesn't take long to pass judgement on the person whose first words on the phone are a bunch of sounds. Figure out what you're going to say before you call. Practice it if you need to. Your first sentence is the most important and sets the tone for the entire conversation.

If I am ever unsure of the name of the person I'm calling, then I use the last name (assuming it's easier). It's also more polite to use the last name if you've never called the person before and don't have a relationship with him/her.

Correct: "Good morning. May I speak with Ms. Hansen, please?"

2. You don't identify yourself

Incorrect: "This is John! John! You know, John!"

Obviously, I don't know! It's important to give people a little bit more information over the phone. Remember that when you call someone you are most likely interrupting them while they are in the middle of working on something totally unrelated to you. Don't assume they'll know who you are right away, even if you have spoken with them before. You need to be very specific as to who you are.

Correct: "This is John Smith. I attended your workshop at the Holiday Inn last April."

At this point I may or may not know exactly who you are, but at least I have a frame of reference.

If you've never met the person you're calling it's important first to explain how you know of the person and then why exactly you're calling:

Correct: "This is John Smith. I received your number from my sister/friend/colleague Jane Brown who used to work with you at Acme Co. I'm calling because I am interested in hearing more about the financial planning services you're now offering."

3. You're rude when you dial a wrong number

Incorrect:
Caller: Angela there, or not?
Me: No, I'm sorry, I think you have the wrong number.
Caller: Oh. CLICK

Wait one second! I have the courtesy and consideration to empathize with someone (a total stranger, mind you) who interrupted my day in a very rude fashion, and then the person goes and hangs up on me? You've got to be kidding! A more considerate phone call would go something like this:

Correct:
Caller: May I speak with Angela, please?
Me: I'm sorry, I think you have the wrong number.
Caller: Oh! I'm sorry to disturb you!
Me: That's alright.
Caller: Do you mind if I check the number with you?
(This is a good idea so you don't call me back again because you have the wrong number to begin with.)
Me: Not at all.
Caller: I was trying to reach 551-0000.
Me: Oh, sorry, that's not the number you dialed.
(It isn't necessary for you to reveal your phone number to the caller. Just tell them they dialed incorrectly.)
Caller: Oh, ok. Thanks so much for your help, and sorry to bother you.
Me: Not a problem. Bye.
Caller: Bye

It might take a few more seconds out of your day, but I would much rather have a considerate conversation with someone and end the call on a positive note than be irritated over another inconsiderate caller disturbing my day!
